Exporting Your Contact Data

Exporting Contacts from HelpKit



Export your contact list and conversation data for backups, external CRM imports, or reporting. HelpKit gives you full data portability.

Basic Contact Export



  • 1.Go to Contacts in the left sidebar
  • 2.Apply any filters (optional: tag, segment, date range)
  • 3.Click ExportCSV or Excel
  • 4.The file downloads immediately (up to 10,000 contacts) or is emailed for larger lists


  • Export Fields Included



    | Field | Description | |-------|-------------| | Phone | International format | | Name | WhatsApp or CRM name | | Email | If available | | Tags | Comma-separated | | Custom Fields | All configured fields | | Created At | When contact was added | | Last Message At | Most recent activity | | Conversation Count | Total conversations | | Agent Assigned | Last assigned agent |

    Exporting a Segment



    Apply a segment filter before exporting to get only the contacts you need:
  • 1.Click Segment dropdown → select a saved segment
  • 2.Click Export


  • Exporting Conversation History



    For compliance or analysis, export full conversation transcripts:
  • 1.Open a contact profile
  • 2.Click ⋮ → Export Conversation
  • 3.Choose format: PDF, Text, or JSON


  • For bulk conversation export, go to Analytics → Exports → Conversation Export.

    GDPR Data Export



    If a contact requests their data (right to access under GDPR):
  • 1.Search for the contact
  • 2.Open profile → ⋮ → Export Personal Data
  • 3.A ZIP file is generated with all data HelpKit holds about that contact

    Scheduled Exports



    On the Business plan, you can schedule automatic daily/weekly CSV exports to:
  • An email address
  • An S3 bucket (via Webhook)
  • Google Sheets (via Integrations)
